correct addressing

format

The first two or three lines of an address are essential to suny new paltz mail services staff, as mail is sorted by office/department name (not building).

usps automated equipment reads only the last two lines of an address. The USPS requires that the last two lines of any address be the mailing address and the city/state/zip code.

outgoing mail

separate outgoing mail (off campus) from interoffice mail (on campus). Also, separate postage-paid mail, mail to be measured, and international mail. thanks for using rubber bands instead of paper clips.

to seal the envelope or not?

Standard letter envelopes for mail services to seal must face the same direction, with the flaps open or closed. seal larger envelopes and catalog style envelopes of any size (flap on short end) as our equipment cannot seal these properly.

account number

Outgoing mail must have an account number preprinted or stamped above your office/department return address. postage will be recharged to that account. (handwritten account numbers are not accepted).

pickup times

usps picks up our outgoing mail at noon. If you need the mail to go out the same day, please bring it to the window before 11:30 am. m.

fedex picks up in the morning when it drops off incoming packages.

the pick-up service is at 3:00 p.m.

dhl (international only) dhl checkout outside haggerty

overnight

overnight mail is picked up at the same time as other mail/parcels. send us the mail or packages the next day at least half an hour before the pick-up time. Also note that these times may vary to some extent.

ups is the preferred overnight carrier for suny new paltz and is used when possible.

We have a contract with them that allows for substantial savings compared to other overnight carriers.

note

  • international mail or saturday delivery: usps priority mail is recommended.
  • domestic and weekday delivery: ups overnight air shipping is considerably less expensive than usps priority mail.
  • ups 2nd day air is also available.

standard mail

The university maintains a nonprofit organization standard mail permit with USPS. standard mail (often referred to as bulk mail) offers substantial savings over first class mailing. If you are mailing more than 200 identical pieces (identical size and content less than 16 ounces), please call us for more information. you will need to complete the standard mail request form available at my.newpaltz.edu in the communication & marketing link. fill it out and take it along with your part to print services for approval and scheduling. Please contact us as soon as possible so we can help ensure your piece meets USPS requirements to qualify for the non-profit rate.

Ancillary Service Endorsements are used to apply for a recipient’s new address and to provide the USPS with instructions on how to handle parts that cannot be delivered based on the address.

Undeliverable mail is handled differently depending on the class of mail, the endorsement you use, and when your customer last moved. Some of these actions have fees associated with them.

there are five basic phrases used by usps:

requested address service (forward and return, new address notification)

return service requested (no forwarding, return only, new address notification)

service change requested (no forwarding or return, new address notification

resend service requested (forward and return, new address only with return)

electronic service requested

“requested address service” is the endorsement used on campus stationery, printed below the return address. allows undeliverable first-class mail to be forwarded or returned free of charge. non-first class mail will be returned for a fee.

months 1-12: free mail forwarding, notification of new address provided, address correction fee

months 13-18: mail returned free of charge with new address attached

after 18 months or undeliverable: mail returned free of charge with reason for non-delivery attached

note: the above applies to first class mail only.

internal mail

use brown envelopes between offices. this helps mail staff sort mail more efficiently and ensures your mail doesn’t inadvertently end up in outgoing off-campus mail.

The classification is made by office/department name. send interoffice mail as follows:

Two days in advance, we can send you mail supplies via the mail route:

  • express mail labels, ups next day, ups second day and usps certificate
  • bubble envelopes for usps express and global express and ups next day
  • tubular boxes for usps priority

and they are always available at the window.

incoming mail

usps delivers between 9:30 and 11am. m.

fedex delivers between 9:30 and 11 am. m.

oops noon delivery.

dhl (international only) delivers at noon.

overnight mail/packages

overnight mail/parcels received will be included in daily mail runs. If you’re expecting urgent mail or a package, you can call the mail services on x3122 to alert them and request a call back when it arrives, and you can pick it up at your convenience.

mail supplies

Envelopes and other mailing supplies can be purchased at the New Paltz Post Office, PDQ, and local grocery stores.

packages

incoming packets:

You need your student ID in order to pick up packages. You will receive an email and text message when your package is processed and ready for pickup.

A package for you that comes in someone else’s name can be picked up for you with:

  • a note from the person named on the package giving you permission to pick up the package; must include your full name and full name

and

  • a photo ID of the person whose name is on the package (may be a photocopy) [can be faxed to Mail Services at (845) 257-6905]. After the package is picked up, the copy or fax is shredded.
  • The tracking number is printed and delivered to us.

To have someone else pick up a package for you, you’ll need:

  • a note from you giving them permission to pick up your package; must include your full name and their full name

and

  • your photo ID or a copy of your photo ID [can be faxed to Mail Services at (845) 257-6905]. after picking up the package, the copy or fax is shredded.

for family/friends shipping perishable items:

  • When sending perishable packages such as flowers, gift baskets, etc., include a phone number where the student can be reached on the label. follow the diagram inside on how to send mail and packages.

outgoing packets:

  • packages with prepaid labels can be dropped off at mail services.
  • packages requiring postage should go to the new paltz post office or pdq.
  • if you call ups or fedex to pick up, please bring the package(s) to the mail services.

out during the summer?

Packets can be sent to the university several weeks before the fall semester begins. look for mail services email near the end of the spring semester to find out when to ship packages for the fall or call mail services at 845-257-3122.

graduate?

Packets must be picked up before the end of the semester. we can’t forward packages, so they will need to be returned to sender after start.

mail can be forwarded if you provide us with a forwarding address. Please reply to the mail services email sent about a month before the end of the semester.

Emails will be sent regarding major delays, closures, and package delivery times.
